Job-Beschreibung und Hinweise für Executive Assistant to CEO (m/f/d)


My duties

  • You will be responsible for the travel and calendar management of the CEO 
  • Also you will coordinate and organize calls, meetings, workshops and events 
  • Contract management for the senior management is part of this role as well 
  • You will define and own all facility related processes in alignment with reception and facility team
  • To act as key point of contact for all employee queries related to the office is another task
  • Also you will drive projects (new and improvement) related to the office space in Pratteln
  • You will maintain process manuals and regular communication to the workforce regarding process changes
  • Another task is to raise purchase requests and manage invoices, as well as to manage and maintain the T&A tool for the Swiss Sites
  • You will ensure correct data entry including regular quality checks and you also will create reportings and data analysis for HR statistics and payroll
  • Last but not least you will provide training & communication regarding T&A system or process changes

My qualifications
  • You have a Bachelor degree and at least some years experience as executive PA in multi-national organization
  • Facility management exposure is a benefit
  • You bring strong organizational skills and project management experience
  • Advanced MS Office (excel, word, ppt) and also SAP experience is required
  • You have time and attendance system and process knowledge
  • Highly important is to have a proactive and solution focused mindset and a high level of ownership
  • You speak fluently English and at least a good level of German
